Terms and Conditions

Welcome to ML Travels! Please read these terms and conditions carefully before using our services. By proceeding with a booking, you agree to be bound by the terms outlined below.

1. Booking

Your contract is with ML Travels. A contract exists between us when we have confirmed you on your tour / hotel booking / or any other travel related services of your choice and we have received your booking request and deposits. All correspondence in respect of Tours / Travel Service bookings should be addressed to ML Travels.

2. Payments

• Advance Payment: 30% of the final amount must be paid at the time of booking to confirm your reservation.
• Day 1 Payment: 50% of the final amount is required on the first day of the trip.
• Final Payment: The remaining balance must be cleared one day before the completion of the trip.
• Optional Services: Charges for optional services such as Nathula Pass or Zero Point must be paid one day before availing of the service.
• Parking Charges: Parking charges are to be paid directly to the driver on an actual basis at the spot.
• Service Interruption: In case of any payment delay by the guest, the tour service will be stopped until the pending payment is cleared.

3. Payment Options

Payment can be made by Bank Transfer, Cash payment to our office or by Demand Draft / Cheque. All payments should be free and clear of any withholding tax and deduction. Bank charges, if any, for remittance (by remitting bank or by intermediary bank) would be strictly borne by payer.

4. Additional Services

If any additional services are availed by the guest during the trip, an extra cost will be applicable. This additional amount must be paid on the spot or on the same day directly to ML Travels Service. For any queries or clarification regarding the extra charges, please contact our team promptly.

5. Rights to Amend the Itinerary

Tour once commenced will strictly go as per the itinerary finalized. In case of events and circumstances beyond our control, we reserve the right to change all or parts of the contents of the itinerary for the safety and well-being of our esteemed passengers.

6. Cancellation / No Show / Early Departure

In case of cancellation of tour/travel services due to any avoidable/unavoidable reason/s we must be informed in writing. Cancellation charges are as follows:

• 16 days prior to arrival – 50% of the tour/service cost.
• 15 days to 01 days prior to arrival or no show – 100% of the tour/service cost.
• Minimum Charge: Irrespective of the above slabs, a minimum 10% service charge applies to any cancellation after booking.

In case you cancel the trip after commencement, refund would be restricted to a limited amount depending on recovery from hoteliers. We do not bear responsibility for refunds on unused accommodation, transport, or missed meals.

7. Refund Policy

Refunds for unused services are processed based on the cancellation policy above. The refund process may take 5 - 7 days due to banking procedures. Bank charges for transactions will be debited from the refund amount.

8. Our Liabilities & Limitations

ML Travels acts only as an agent for hotels, airlines, and transporters. We shall not be responsible for delays, alterations, or expenses caused by natural hazards, flight cancellations, breakdowns, sickness, landslides, or political closures. We do not have an insurance policy covering accidents or thefts; visitors are advised to arrange their own insurance. All personal property remains at the client's risk.

9. Passports, Visas & Health

Overseas travelers (except citizens of Nepal & Bhutan) require a 6-month valid passport and visa. Regarding health, any person with a contagious disease is forbidden to travel and may be asked to leave the tour to make their own arrangements.
